Who We Are
Occam Immigration is an immigration law firm operated by OccamLegal LLC. We built OccamOne as a secure portal for our clients to communicate with our team, track their cases, upload documents, and stay informed throughout the immigration process.
This policy explains what information we collect, why we collect it, how we protect it, and what choices you have.
What Information We Collect
Information You Provide
When you use OccamOne or work with our firm, we may collect:
- Identity information. Your name, date of birth, country of birth, nationality, and government-issued identification numbers (such as passport numbers, A-numbers, and Social Security numbers).
- Contact information. Your email address, phone number, and mailing address.
- Immigration case details. Information about your immigration history, employment, education, family members, and any other facts relevant to your case.
- Documents. Files you upload to your case, including identification documents, tax records, photographs, employment letters, and supporting evidence.
- Communications. Messages you send through OccamOne, call recordings (with notice), and appointment notes.
- Account credentials. Your email address and authentication information used to sign in to OccamOne.
- Payment information. Billing details processed through our payment provider. We do not store full credit card numbers on our servers.
Information Collected Automatically
When you use OccamOne, we automatically collect:
- Device and browser information. Browser type, operating system, and screen size, used to ensure the portal displays correctly on your device.
- Usage data. Pages visited, features used, and timestamps, used to improve the portal experience and identify technical issues.
- Authentication data. Sign-in times and session information, used for security monitoring.
We do not use tracking cookies for advertising. We do not sell your data. We do not serve ads.
How We Use Your Information
We use your information for the following purposes and no others:
- Providing legal services. Processing your immigration case, preparing filings, communicating with government agencies on your behalf, and keeping you informed of case progress.
- Operating OccamOne. Authenticating your account, displaying your case information, delivering messages and notifications, and managing document uploads.
- Quality assurance. Reviewing documents for accuracy and completeness, verifying form data against your records, and catching inconsistencies before filings are submitted.
- AI-assisted review. Using artificial intelligence as a quality assurance tool, subject to the protections described in our AI Responsibility page. Personal information is stripped and replaced with anonymous tokens before any data is sent to an external AI model.
- Communication. Sending you case updates, appointment reminders, document requests, and other communications related to your legal matter.
- Legal compliance. Meeting our obligations under applicable law, responding to lawful requests from government authorities, and maintaining records as required by professional conduct rules.
How We Protect Your Information
Technical Safeguards
- Encryption in transit. All data transmitted between your device and our servers is encrypted using TLS (the same technology used by banks and government portals).
- Encryption at rest. Your data is stored in encrypted databases hosted by SOC 2 Type II certified infrastructure providers.
- File storage. Documents are stored using enterprise-grade storage services with encryption at rest.
- Authentication. OccamOne uses an enterprise authentication provider for secure sign-in with email verification and session management.
- Tenant isolation. Your data is isolated at the database level. Our system is architecturally designed so that one client’s information cannot be accessed by another client, regardless of software configuration.
Organizational Safeguards
- Access controls. Only authorized members of your legal team can access your case information. Access is role-based and logged.
- Attorney-client privilege. Your communications with our attorneys are protected by attorney-client privilege. We take this obligation seriously and have built our technology to reinforce it.
- Staff training. Our team is trained on data protection, confidentiality obligations, and secure handling of immigration records.
Third-Party Services
To operate OccamOne and provide legal services, we work with a limited number of trusted third-party service providers. These include providers for authentication, database hosting, file storage, payment processing, phone and calendar services, and website hosting.
Each of these providers is selected for their security practices and data protection commitments. Where AI is used for quality assurance, personal information is stripped before any data leaves our environment, as described in our AI Responsibility page.
We do not sell, rent, or trade your personal information to any third party for marketing or advertising purposes. Our providers are contractually prohibited from using your data for any purpose other than delivering their service to us.
Data Retention
We retain your information for as long as necessary to fulfill the purposes described in this policy:
- Active cases. Your case information is retained for the duration of our attorney-client relationship and any active legal proceedings.
- Closed cases. After your case is closed, we retain records for a minimum of seven years, consistent with our professional obligations and applicable statutes of limitations.
- Account data. If you request account deletion, we will remove your portal access. Case records may be retained as required by law and professional conduct rules.
- Communications. Messages and call records are retained as part of your case file.
Your Rights
You have the following rights regarding your personal information:
- Access. You can view your case information, documents, and communications at any time through OccamOne.
- Correction. If any of your personal information is inaccurate, contact your attorney or our team to request a correction.
- Data export. You may request a copy of your personal information in a portable format.
- Deletion. You may request deletion of your account and personal data, subject to our legal retention obligations.
- Questions. You may ask us at any time what information we hold about you and how it is being used.

Children’s Privacy
OccamOne is not intended for use by individuals under the age of 18 without the involvement of a parent or legal guardian. We do collect information about minors when they are beneficiaries of immigration cases filed by their parents or guardians, but only as necessary to provide legal services.
Changes to This Policy
We may update this policy from time to time. When we make material changes, we will update the “Effective Date” at the top of this page and notify active clients through OccamOne. We encourage you to review this policy periodically.
